Assigning Resources to Tasks and Publishing Tasks

Once the phases, tasks, and dependencies are in place, resources can be assigned to tasks. This ensures that the necessary expertise and skills are allocated to each task.

To assign resources to tasks:

To do this, you must have a PMO or Project Manager user role assigned to your account, and must have added resources to this project.

  1. Navigate to your project’s Project Editor, and click on the WBS tab.
  2. Locate the record of the task you want to assign a resource to. There are three ways to assign a resource:
    • The Edit Assignments dialog
      1. Select on the Assignment field corresponding to the task.

      2. The Edit Assignments dialogue opens, prompting you to select a resource for this task.

      3. Click on the Assign check box corresponding to the resource you wish to add.

      4. Select the Planned Start and the Planned End dates. The Duration automatically calculates in days.

      5. Click on OK to save your assignment.

    • Assigning resources inline
      1. Click on the Assignment field corresponding to the task you want to assign a resource to. Search for the resource you want by typing it inline on the WBS.

      2. Press enter and click Save Changes to assign the resource.

        The Planned Hours will be automatically calculated as well, based on the Planned Start and Planned End dates selected and the resource’s assigned capacity on this project.

    • The Edit Task dialogue
      1. Click on corresponding to the task to open the Edit Task dialog.
      2. Expand the Assignments section, search for a resource's name, and click on Add Resource.
      3. Click on Assign to save your assignment.

        Once you've assigned resources, checking the Update Planned Hours button to automatically update the list with the number of planned hours per resource, based on the duration that is set.

 

After which, publishing tasks is the next crucial step. This enables resources to start charging time to tasks and actively contribute to project completion. Individual tasks or all tasks within a phase can be published.

In order for a task to be published, the following must be true:

  • The project is in the inflight state

  • Start and end dates are planned and a duration is set

  • A resource is assigned to the task

  • Planned hours are added to the task

  • If a project is still in the proposal state, or no one is assigned to the task, the task will not be publishable
